The invoice audit log allows you to keep track of the date and time a user shared an invoice and who it was shared with.


How does the invoice audit work?

The invoice audit log records any time the invoice is sent and shared in Synergy and who with, this includes:

  • The time and date an invoice was sent using the 'send' button and who it was sent to.

  • The time and date an invoice was shared using the portal button and who it was shared with.

Columns on the invoice audit log

Date - This shows the date and time of the entry in the audit log

User - This shows the User that created the invoice audit log entry

Text - This shows you the action that was completed that resulted in an invoice audit log entry including how the invoice was shared and who with.

Where is the invoice audit log?

  1. Organisation drop down > Invoices.

  2. Click into the invoice you would like to audit.

  3. Select the action dropdown arrow in the top right hand corner > audit log

Reporting on the invoice audit log

You can report on the invoice audit log under the category 'invoices' in reports.

To be able to view the invoice audit information, you will firstly need to add an invoice audit filter. To do this, customise the report, then select the filter icon

Add a filter for invoice audit activity type and check the activity types you would like to view on your report, this will populate the report columns.

Press 'OK' in the top right hand corner and Save

The columns you can report on are below:

Invoice Audit Activity Type - This shows the activity type of the audit log, for example invoice send or invoice share

Invoice Audit Sent Date - This column shows the date and time the invoice was sent/shared.

Invoice Audit Staff Name - This column populates with the staff member that shared the invoice.

Invoice Audit Staff Email - This will show the email of the staff member that sent or shared the invoice.

Invoice Audit Contact Contact Email - This will bring through the email of the contact or staff member this invoice was shared with.

Invoice Audit Contact Contact Name - This will shows the populate with the name of the contact or staff member this invoice was shared with.


Tip!
If you have an audit entry for your invoice, but the client has not received it (after checking spam/junk) - check that your user profile has both a First name and a Last name. Having only one name will stop invoices being sent.
