How do I make a staff member inactive / active again

How to make a staff member inactive and active again and increase or decrease license count.

Staff can't be deleted as they are linked to projects or time/expense transactions. Instead, you can make them inactive to stop them from being displayed in drop-down lists in Synergy. Staff can be made active again if you find missing timesheet approvals or project transactions.

Important note: License count.

Synergy will not automatically decrease your license count when a staff member is made inactive.
You need to manually reduce your license count if the staff member is not being replaced immediately.

You'll also need to increase your license count before changing an inactive staff record back to active again.


How to make staff inactive

Method: Staff list

Bulk action:

You can make multiple people inactive at the same time using the following steps:

  1. Go to the Organisation drop-down menu > Staff.

  2. Select the checkboxes to the left of the staff you want to mark as inactive.

  3. Click the ellipses button at the top left of the screen and choose 'Set as Inactive'.

Individuals:

You can make just one staff member inactive by using the following steps:

  1. Go to Organisation drop-down menu > Staff.

  2. Put your mouse on the staff member's row - click the more actions button (3 dots) at the end of the row.

  3. Select "Set as Inactive".

Method: Adding an End Date

  1. From the Staff page.

  2. Click into the Staff's file.

  3. Click 'Edit' on their details page.

  4. Add an 'End date' to the end date calendar.

  5. 'Save' your changes

  6. A notice is displayed reminding you that you may want to reduce your license count now the staff member is inactive. Click the 'here' link to access the subscription page if you wish to reduce the license count. Click the Understood button to close the notice.

Note: You can add an end date in the past. Doing this will make the Staff member inactive immediately.


How to make staff active again

From the Staff list

  1. Organisation menu > Staff

  2. Select the filter icon in the top left corner

  3. Expand the Active filter, select Inactive, and click Apply Filter.

  4. Staff names are dimmed out to indicate that they are inactive. Click the ellipses button at the top left of the screen and choose 'Set as Active'.

  5. The staff name will be removed from the inactive list. To return to the Active staff list, hover over the displayed filter at the top of the screen, and click the x.

With the End Date

  1. Click into the Staff member's profile and click 'Edit' on their details page.

  2. Click on the date selector on the 'End date' field top open the calendar then select 'Clear'.

  3. 'Save' your changes.

  4. This will remove the staff member from your 'Inactive' list and re-add them to the Active list.


Increase/Decrease License Count - Where Needed

  1. Go to the Organisation drop down > Subscription.

  2. Click on the "Change product, users or storage" button.

  3. Increase/decrease license count by the number of Staff you've made Active/Inactive.

  4. Click Calculate, and then Next.


Tips!

  • Inactive staff will no longer be able to access your organisation.

  • Change the 'Active' filter option to 'All' to view both active and inactive staff.

  • A dimmed-out style is applied to inactive rows.

  • If you set the staff record to 'Inactive' using the staff list, it will have an 'end date' of yesterday's date entered. This will terminate the staff record and stop them from using Synergy today.

  • If you have made staff inactive, you will need to reduce your licenses in the subscription screen
