Tips for Using the Analytics Dashboard

  • The analytics dashboards are updates 3x weekly.

  • Analytics dashboards are dynamic—clicking on a data point filters the entire report accordingly.
    For example, in the Sales Dashboard, clicking on the "Won" value for a specific month updates the project list to show only projects won in that month.

  • Some reports, like Aged WIP by Project Manager, Primary Contact, or Project, contain multiple views in one. Hover over the chart to drill down or switch between hierarchy levels and report perspectives.

  • To view the report in full screen, hover over it and click the ‘Focus Mode’ button.

  • To remove a filter, hover over it and click the eraser icon.


Business Dashboard

Track key metrics like invoiced revenue, work charged, WIP, and recoverability with clear charts and figures viewable monthly or as a running total.

Filters

  • Monthly or Cumulative: Toggle between month-by-month totals or cumulative values.

  • Office: Filter projects by their assigned office.

Business Reports explained

Data Reported From

The start date used to pull transactions into the report.

Invoiced Revenue

Total invoiced value (minus credits and write-offs) over the past year.

Worked Charge

Potential revenue if all transactions were invoiced at full charge rate. Includes invoiced and written-off transactions. Excludes internal projects.

WIP Total

Chargeable value of WIP and draft invoice transactions over the past year. Excludes non-billable stages.

WIP > 60 Days:

WIP value older than 60 days from the past year.

Debtors > 60 Days

Unpaid invoices over 60 days old. You can choose whether this is calculated from the invoice or due date in the configuration settings.

Worked Charge by Transaction Date vs. Invoiced Revenue by Invoice Date

Compares work completed each month with revenue invoiced.

Worked Charge (Monthly): Charge value of all invoiced and written-off transactions.

Invoiced Revenue (Monthly): Monthly total of adjusted invoiced values (less credits and cancellations).

WIP Breakdown & Recoverability (Invoice Value / Total Charge) by Transaction Date:

Displays, month by month for the past 12 months, the value of transactions that were:

  • Invoiced

  • Written off

  • Still in WIP

  • Included in a draft invoice

Recoverability shows the percentage of potential income (Worked Charge) that was invoiced: Recoverability = (Invoiced Charge ÷ Worked Charge) × 100


Finance Dashboard

Track aged debtors and aged WIP with ease.

Filters:

  • Office: Filter projects based on the office they are assigned to.

    Include Not Due: Select Yes to include all invoices, including those not yet due. Select No to show only overdue invoices.

Finance Reports Explained

WIP> 60 Days:

Shows the charge value of all transactions that have a WIP status older than 60 days.

Aged WIP by Ageing Category:

Shows WIP older than 60, 90, and 90+ days — representing chargeable work not yet invoiced. Includes WIP and draft invoice transactions and excludes non-billable stages.

Aged WIP per Project Manager, Client or Project by Ageing Category

Displays Aged WIP grouped by Project Manager, Client, or Project.

Debtors> 60 Days

Shows all outstanding invoices older than 60 days.

Aged Debtors by Ageing Category

Shows outstanding invoices over set ageing ranges (e.g., >60, >90 days), including tax

Aged Debtors by Project Manager, Client or Project per Ageing Category

Shows outstanding invoices over set ranges (e.g. 0-30, 31-60 days) grouped by project manager, invoice contact or project.


Sales Dashboard

Track project proposals, wins, and losses by project start date.

Filters:

  • Weighted: Choose between weighted (based on each project's likelihood %) and unweighted figures.

  • Office: Filter results to show projects assigned to a specific office.

Proposals This Month

Total fee/cap value of proposals with a project start date in the current month.

Proposals Before This Month:

Fee/cap value of proposals with a start date before the current month, within the past year.

Won Projects:

Fee/cap value of projects with a start date in the past year, that have a status of Active.

Win Ratio (#)

Percentage of proposals won, calculated as:
Win Ratio (%) = (Won ÷ (Won + Lost)) × 100

Win Ratio (£/$)

Percentage of proposal fee/cap value won in the past year, calculated as won ratio($) = (won/(won+lost))*100

Fee/Cap by Start Date per Project Status

Monthly breakdown of proposal fee/cap value by project start date, grouped by proposal status.

Projects Won or Lost by Start Date

Monthly view of fee/cap value for all won or lost projects, based on start date.

Fee/Cap by Project Manager, Client, Project or Status

Shows proposal fee/cap values (from projects with a start date this month or earlier), grouped by manager, client, project, or status.

Project Report:

A table listing proposals by number, name, and fee/cap value. Click the project number to open it in a new tab.

**NOTE**

Won Projects: Projects where the status was updated to Active, Pending Invoice, On Hold, or Complete.

Lost Projects: Projects marked with the status Unsuccessful.


Projects Dashboard

Track key project metrics like WIP and fee/cap, with breakdowns by cost centre, client, discipline, and project type.

Filters

  • Office: Show projects linked to a specific office.

  • Project Status: Filter projects by their status.

  • Stage Status: Filter by stage status.

  • Display Value: Select the value used across all projects reports—options include agreed fee/cap, fee/cap, total charge, residual, net residual, or written off.

Projects Report

A table displaying the following values.

  • Project Name

  • Project number

  • Value: This shows the value for the option selected for the filter display value

  • Project status: Status associated with the project

  • Agreed fee/cap: Fee/cap value of all stages set to active, pending invoice, on hold or complete.

  • Fee/cap: Fee cap value of all stages on the project except unsuccesful

  • Total Charge: Charge value of all transactions, timesheets expenses etc added against this project

  • Net Invoiced: The total of all invoices This excludes drafts but includes cancelled invoices, credited invoices etc. This can result in the value being larger than the Agreed fee/cap value.

  • Residual: Agreed fee / cap less the Net invoiced value. For 'fixed fee', 'percent of project' and 'capped rates' fee types this shows how much of the fee is remaining to be invoiced.

  • WIP: Charge value of all uninvoiced transactions on the project.

  • Net residual: The outstanding value of work still to be completed and invoiced for the stage. Net Residual formula is = (Agreed fee / cap - net Invoiced - WIP charge).

  • Written off: The total charge value of all transactions with the status written off


People dashboard

Keep track of staff, utilisation and resources.

Filters

  • Office: Show staff assigned to a specific primary office.

  • Primary Team: Display staff within a selected primary team.

  • Active: Filter by Active, Inactive, or all staff.

  • Transaction Date: Filter timesheets based on a selected date range.

Active headcount

The number of active staff

Utilisation

The average utilisation percent of all staff within the transaction date set in the bottom right of the dashboard. Utilisation(%) = (Utilised Timesheet Hours/Total Timesheet Hours)*100.

Hours and Utilisation by Period

The monthly staff utilisation percent showing their primary team and office. The time period depends on the transaction dates set in the bottom right.

Utilisation(%) = (Utilised Timesheet Hours/Total Timesheet Hours)*100.

Office, Primary Team, Name, Utilisation %

Shows weekly utilised, non-utilised, and leave hours for your staff:

  • Utilised: Total utilised timesheet hours per month.

  • Non-Utilised: Total non-utilised hours per month.

  • Leave: Total leave hours entered per month.

  • Utilisation % = (Total Utilised Hours ÷ Total Timesheet Hours) × 100
