Contact - Titles

Setup the list of titles or greetings that can be assigned to staff records, individual type contacts, and personnel records. i.e. Mr, Mrs, Dr etc.

What are titles?

Create an entry for each title or greeting that is needed for staff or contact records. Titles can be displayed on reports, document templates, and email templates. Titles are commonly used on Invoice templates to address the invoice to contact personnel in the finance department. e.g. to display 'Mr' in the invoice address field in front of the contact name such as 'Mr David Brown'.

Actions available

Add extra items to cover the greetings or titles that are needed for your contacts, personnel and staff. Add a title by:

  1. Go to: Settings > Contact lists > Titles.

  2. Click the Add button in the top right corner of the list.

  3. Type the 'name' to describe the title. e.g. Mr, Mrs, Dr etc.

  4. Save.

  5. Repeat for each extra title that is required.

Change a title to be inactive to stop the title from appearing in drop-down lists.

  1. Go to: Settings > Contact lists > Titles, and use one of the following methods: Single row - Click the row action button and select 'edit'. Uncheck the 'active' box, and then save and close. Multi-row - In the list check the box(es) on the left of the name column, and then click the multi rows action button. Choose 'set as not active' option.

  2. The list refreshes and only the active items remain in the list.

Tips:

  • Use the list filters 'all' or 'inactive' to find the inactive titles.

  • A strike-out style is applied to all the rows that are inactive.

Delete titles if they have not been used on any contact or staff records. If the title has already been used then change the item to be inactive to stop it from being used in the future.

  1. Go to: Settings > Contact lists > Titles and use one of the following methods: Single row - Click the row action button and select 'delete'. Multi-row - Select the checkbox(es) on the row left for each item you want to delete. Then click the multiple rows action button and choose 'delete'.

  2. The list refreshes and the item(s) have been deleted.

Update the name used for the title in drop-down lists. When a name is changed all linked records will also be updated automatically. Titles can be used on staff or contacts.

  1. Go to: Settings > Contact lists > Titles.

  2. Click the row action button and select 'edit'.

  3. Type the new 'name' for the title.

  4. Save and close.

  5. The title name is saved, and any existing contacts or staff using this entry have been updated.

Search

When a large number of items exist use the search or filter options to limit the number of rows shown in the list.

Search by clicking the search button and typing the keyword into the search box. To return to seeing all items in the list click the clear button in the search bar.

Filter

Filter the list by selecting the search button. See the available filters by clicking the word 'active'. Select a filter from the drop-down list and click the search button to apply the filter. The filter options are:

  • Active - the default list filter that shows the items that can be used (seen in drop-down lists).

  • Inactive - see the items that can no longer be used, and are only shown when still linked to existing records.

  • All - see both active and inactive items in the list.

Tip: Return to the default view by choosing the clear button in the search bar.

Sample titles are automatically created to make it easier to get started with Synergy. Delete or make 'Inactive' any of these sample titles that are not required. The same titles are created for each industry types.

Columns available

  1. Name The title or greeting name for a person. This is used with staff records, individual type contacts, and personnel. The name entered must be unique.

  2. Active When checked the title is active and available to use in the drop-down lists. Edit the title and uncheck the active box to stop future use by making the record inactive.
