WIP Transfer

How to do a WIP transfer in Synergy.

Use the WIP Transfer feature to move transactions between stages on the same project, or to a different project.

A single WIP transaction can also be split, allowing you to transfer part of that transaction to a different stage or project. (*Business & Enterprise only).


Transfer WIP

To transfer WIP, open the Project with the WIP transactions that need to be transferred.

  1. Click the Project drop down > Financials > Transactions.

  2. WIP can be transferred when in View: Default or View: WIP.

  3. Tick each transaction that requires transferring.

  4. Click the ellipses button at the top left of the Transactions screen.

  5. Select WIP Transfer to select the project and stage. This will open the WIP Transfer modal.

  6. Select the Project, Stage, and Task you want to transfer the WIP to. By default the options will show the current Project, Stage, and Task that the transaction is on.

    If you have selected more than one transaction to transfer, The Stage and Task fields will be blank and will need to be selected. The current transaction tasks will be retained when 'Keep existing tasks is selected'.


    ​NOTE: If the selection includes a Cash, Travel, or Bill transaction, the 'Task' field will not be displayed.

  7. Click Transfer once you've selected the options you want. The transfer button will only be active once you've changed the options.

There are some limitations:

  • If the selected transactions include Cash, Travel, or Bill transactions, the Task field will not be displayed.

  • Only projects in Proposal or Active status will be shown in the dropdown to be selected for WIP transfer.

  • If the stage your transferring to is restricted to specific rates, you will only be able to transfer transactions that use those rates.


Transfer part of a transaction (Split WIP):

Using the WIP transfer process, you are able to split WIP transactions, sending some of the WIP to a different stage/project.

  1. Go to: Project > Transactions tab > WIP view

  2. Tick the checkbox against the transaction that needs to be partially transferred to a new project or stage.

  3. Click the ellipses at the top left and select the 'WIP transfer' option.

  4. Use the drop down list to select either the stage, or project and stage that you want to transfer the transaction to.

  5. A Transfer field is shown. "All" is displayed as the default, along with the number of transaction units in brackets.

  6. Transactions can be split by entering the number of units, or a percentage.
    If units are entered, the % split is calculated and displayed.
    If a percentage is entered, the units will be calculated and displayed. The $ value of the transaction that will be created by the split process is shown in the WIP transfer box at the bottom right.

  7. Click Transfer to complete the split and move the newly created transaction to the selected Project, Stage, or Task.

Slit WIP transfers have some limitation:

  • You can only split one Transaction at a time

  • You can only split Timesheet transactions

  • Timesheet transactions that use an Inspection Rate cannot be split

Tips:

  • If the stage selected has a status of 'Complete' or 'Unsuccessful' then the transactions will be written-off as part of the WIP transfer.

  • If the stage has a fee type of 'No billing' then the transactions will be written-off as part of the WIP transfer.

  • If the transactions have the status 'Invoiced' you will be unable to transfer them to another project or stage.

  • If the transaction was on a non-utilised Task, and transferred to a Utilised one, it will become utilised, and vice versa.
