What are contact roles?

Roles help define a contact’s function in your projects or company, such as architect, subcontractor, or client. You can assign multiple roles, filter contact lists, and run reports based on them.

Staff can also be assigned roles when added to a project as a contact.


Where are contact roles?

Go to Organisation menu > settings > Contacts Lists > Roles


How to filter the contact roles list

  1. Select the filter icon in the top left hand side

2. Select the filters you want to be applied to the list and save in the bottom right

Filter options:

Active: Only show roles with the status Active

Inactive: Only show roles that are inactive

All: show all roles, both active and inactive.

Contact Role Columns

Name: This is the name assigned to a contact or staff member to describe their role, both within the company and on specific projects.

Staff Role: When checked, this indicates the role is categorised as a staff role. This role will appear in the dropdown menu when adding staff to projects as a project contact.

Contact Role: When checked, this indicates the role is categorised as a contact role. This role will appear in the dropdown menu when creating contacts or adding them to projects.

Staff Default: When checked, this role is set as the default for staff. If no role is specified when adding staff to a project, this role will automatically be assigned.

Contact Default: When checked, this role is set as the default for contacts. If no role is specified when creating a contact, this role will automatically be assigned.

Active: When checked, the role is marked as active and available for selection when creating contacts or assigning staff/contacts to projects.


How to add a new role

  1. Organisation menu > Settings > Contact Lists > Roles

  2. Select 'Add' in the top right hand corner

  3. Enter a name, choose whether this is a staff or contact role and whether this is the staff or contact default role


How to delete roles

  1. Organisation menu > Settings > Contact Lists > Roles

  2. Hover over the role you want to delete > select the '...' to the right of the role

  3. Select 'Delete'

If a role has already been assigned to a contact, it can not be deleted and will need to be set as inactive.


How to set contact roles as inactive

  1. Organisation menu > settings > contacts lists > Roles

  2. Hover over the role you want to mark inactive > select the edit pencil button to the right

  3. Uncheck the 'Active' check box > select the check to the right of the role


How to set inactive contact roles as active again

  1. Organisation menu > settings > contacts lists > Roles

  2. Hover over the inactive role you want to mark active > select the edit pencil button to the right

  3. Check the 'Active' check box > select the tick to the right of the role


How to edit the name of contact roles

  1. Organisation menu > settings > contacts lists > Roles

  2. Hover over the role you want to edit > select the edit pencil button to the right of the role

  3. Edit the name and then check the tick to the right of the role


How to set roles as default

If you don't select a role when setting up contacts or adding staff to projects, the default role will automatically be assigned to them.

  1. Organisation menu > settings > contacts lists > Roles

  2. Hover over the role you want to edit > select the edit pencil button to the right of the role

  3. Select either ' Contact Default' or Staff Default' check the tick to the right of the role
