Project Overview Page (Beta)

Introducing your new, insightful Project Overview page.

This is more than just a redesign. It's a complete rethinking of how you see and understand your projects - putting the most important information front and centre, in a layout that’s cleaner, smarter, and more actionable.

In this article, we will explain each area of the new Overview page, including any calculations, limitations, or configurations required, as well as what's coming next.

Switch Views

While we continue to work on and rollout further enhancements of Project Overview (beta), we're providing users the option to switch between the existing Project Details page and the new Project Overview page.

  • Mouse over "Overview" to reveal a drop-down list.

  • Choose between "Details" and "Overview Insights".


Aged WIP

Requirements: You must have transactions in WIP status.

User-level: Assistant project manager and above

To help you stay on top of invoicing, the Aged WIP graph on the Overview page will help you quickly review how much WIP is on the project, broken down by the (customisable) aged WIP brackets.

How is this calculated?

The Aged WIP report shows the sum of all transactions that have a WIP status, with an entry date that falls within the defined Aged WIP periods.

Available Actions

Hover your mouse over an Aged WIP segment to view:

  • Aging Period.

  • Total value of WIP in the aging period.

  • Percentage of WIP in aging period.

Click on an aged WIP period or total value to go to a pre-filtered transaction page.


Revenue Forecast

Edition: Enterprise

Requirements: You must have a budget.

The Revenue forecast graph will provide a view of the next 3 months of your expected project revenue, month by month, with a clear visual of forecasted revenue. This insight helps you quickly assess projected income and profitability across the project.

How is this calculated?

The bar graph shows the weighted forecasted revenue, further details available here.

Actions Available

Hover your mouse over any of the bars in the graph to view:

  • Forecast Month

  • Internal forecasted values

  • External forecasted values

  • Forecasted expense values

  • Total forecasted gross revenue for the project (unweighted)

Click on the chart to be taken to a the Revenue Forecast screen for a full overview.


Monthly Invoiced

Requirements: You must have an invoice with an invoice date that falls into the last 3 months.

Edition: Business, Enterprise

User-level: Director, Assistant Administrator, System Administrator

The Monthly Invoices graph allows you to see at a glance how profitable your projects have been month by month, for the last 3 months.

Blue bar: This shows the invoice amount excluding tax for that month.

Green bar : This shows the profit figure for that month.

How is this calculated?

Invoiced: The total ex tax amount of invoices whose date falls into that month, excluding draft and cancelled invoices.

Profit: The profit is calculated using Actual costs. This amount is calculated as: (Invoiced amount - transactions actual cost).

The Actual Cost is from transactions that fall within the month (based on the transaction date), with a status of either: Invoiced, Written off, Draft, or WIP.

Actions Available

Hover over the Invoiced or Profit bars to view:

  • Invoice Month

  • Invoiced Total

  • Profit Total

Click on the "Invoiced" bar to go to a pre-filtered invoice page.

Click on the "Profit" bar to go to Project Financials.


People

The people panel will provide you with a detailed overview of work done by staff within your Organisation, as well as information about the contacts that are involved in this Project.

Contributors

Permissions:

You need access to view transactions to view this insight.

Click on the Contributors tab to see a visualisation that represents the total time each staff member has entered for the current and previous week.

By providing an overview of all time entered on a given week, you will be able to identify any problems as they arise instead of after the fact, which often leaves you with more admin work. This panel is here to empower you to identify:

  • Does time entered match expectations?

  • Did someone enter time who shouldn’t have?

  • Has everyone selected the correct rates?

  • Is time being entered regularly?

Actions Available

Search: Click in the search box and type name to search for a specific staff member.

Switch between "This Week" and "Last Week" by clicking on the week button.

Information Shown

  • Staff member name

  • Rate used - if multiple rates were used, it will show the rate with most hours assigned.

  • Total hours added

Hover over the hours to see a breakdown of hours entered against the project, broken down by rate used.

Contributor Transactions

Users with adequate permissions can click on the total hours of a contributor to which will take you to the Transactions page, pre-filtered to the specific transactions pertaining to the selection. This means users can truly drill into the details with minimal effort.


Contacts

Click on the Contacts tab to view the full list of Project Contacts.

Information Shown

  • Contact name & parent contact (if applicable)

  • Project role / Contact role

Actions Available

  • Click in the search field to search for a specific project contact.

  • Click the Add button to add a new Contact or Staff member

  • Click on the Contact's name or avatar to view their Staff or Contact page

  • Call contact: Click the phone icon to copy the phone number, or launch an application to call the contact.

  • Email contact: Click the email icon to copy the email address, or launch an application to write an email.

Note: Call and Email will only be active if you have entered this information on the contact card.


Financial Progress

View the progress of your Project by Phases or Stages, calculated by Cost vs Fee, or Charge Vs Fee.

Information Shown

Fee/Cap: View your total Fee/Cap

Budget: View your total Budget

Phases: If your Project uses Phases, you will see a drop-down list at the top of the arc graphs - this enables you to choose to view your progress at a high level by Phase, or by the Stages within a Phase.

Toggle between Charge and Cost:

Click on the "Charge" button to toggle between Charge, Actuals Cost and Actual Cost.

Toggle between Fee and Budget:

Click on the "Fee" button to toggle between Fee and Budget.

  • Arc Graphs: A high level progress tracker will display the total number of Stages and Tasks completed out of how many are on the project.

  • Progress Bars: Based on the options selected (phase/stages, charge/cost and fee/budget), you'll see the charge or cost versus the fee or budget or the Phase or Stages. You'll also see total hours entered against the phase or stage.

    • Colours and what they mean:

      • Green: Total charge or costs of the phase or stage are less than the fee or budget

      • Blue: Hourly free or non-billable

      • Red: Total charge or costs of the phase or stage are greater than the fee or budget


Notes

Notes have not changed, however the UI has been simplified to focus exclusively on the note.

Depending on your permissions, you are able to view, create and edit notes.

Information Shown

  • Next to "Notes" you will see the total number of notes

  • Name of staff member who added the note

  • Number of comments added to the note

  • Date of note

  • Note subject and note text

Actions Available

  • Add a note by clicking the "Add" button

  • Edit a note by clicking on the note text bubble

  • To add, edit or view all comments, click "See All Notes"


Details

The information on the screen has been rearranged to provide an improved information hierarchy. In addition, a thorough analysis has been conducted to ensure the most useful information is shown first, to make it simpler to find what you are looking for.

Actions Available

  • Change project status

    • Click on the coloured status bubble to update the project status.

  • Edit Project details

    • Click the Edit pencil in the Details panel to go to the Edit page.

  • Delete or create template from project by clicking the more actions icon in the top right-hand corner of the Overview screen.

Coming Soon

In a future release, we will be introducing inline editing, meaning you will no longer be taken to another page to edit your project details, and will be able to do this from each of the details panels.
