How do I enter a cash or travel expense?

Enter a cash expense

Cash expenses are variable cost items like taxis, flights, accommodation, fuel, or stationery that the staff has paid out of their own pocket and need to be reimbursed.

  1. Select the date from the calendar.

  2. Select a project.

  3. Select a stage.

  4. Select an expense type.

  5. Select a rate. The rate is the category for your expense and can be defined for your organisation in Settings > Financial > Rates.

  6. Select the tax rate for the expense (e.g. tax applicable or tax-free).

  7. Enter the total dollar value (including tax) for the expense, against the day of the week that this expense was paid for. You will need to type an explanation of the expense in the field.

  8. Save.

Tip: The value shown in cash expenses is the cost for the item. The item will be marked up / down within the project, based on the rate selected. Learn more about cash expense rates.

Enter a travel expense

Travel expenses are fixed cost items like such as mileage for a personal car, road tolls, or a daily per diem rate paid for each day of work travel.

  1. Select the date from the calendar.

  2. Select a project.

  3. Select a stage.

  4. Select an expense type.

  5. Select a travel rate.

  6. Enter the number of units. e.g. 55 kilometers were traveled. The amount to be reimbursed will be calculated automatically based on the travel rate cost. Then, type a note to describe the expense.

  7. Save.

Tips:

  • Travel expense items are automatically set to be 'tax-free'. If the item includes taxes (like GST or VAT) please enter this using the cash expenses tab.

  • The value shown in travel expenses is the cost for the item. This is the amount you will be reimbursed for the expense. The item will be marked up / down within the project, based on the rate selected. Learn more about travel expense rates.
