How to edit a company, personnel or individual contact in Synergy.

User-level: All users


Contacts may need updates as they move, expand, or are no longer needed in your Synergy contact list. You can edit their details, change their type, deactivate them, or reactivate them if they become relevant again.


Editing an existing contact

  1. Click Organisation dropdown > Contacts

    or click "Active Contacts" on the Stats bar

  2. Search for your contact using the search option at the top of the page -

    • Click the magnifying glass to expand the search feature

    • Type the contact name and press [Enter] on keyboard, or click Search

  3. Click the contact name to enter the contact information page

  4. Click the Edit button

  5. Make your changes

  6. Click save


Changing the contact type

  1. Organisation menu > Contacts

  2. Click the [...] ellipses to reveal the options available for this contact

  3. You can now select to convert this contact to a Personnel, Individual, or Company

    • The options you have available will not include the type that it currently is in Synergy

    • If it was a company and you made it an individual, the personnel will remain added

    • If you change it from a company or individual and it has personnel, those personnel will be converted into individuals


Setting a contact as inactive

  1. Organisation menu > Contacts

  2. Find the contact

  3. Check the checkbox to the left of their name

  4. Scroll to the bottom of the page and click the drop down

  5. Select Set as not active

    • If you make a Company or Individual with Personnel not active, it will also make the personnel not active.


Setting an inactive contact active again

  1. Organisation menu > Contacts

  2. Change the search view from active to Inactive in the drop down list

  3. Apply a tick in the checkbox near their name

  4. Scroll to the bottom of the page and click the drop down

  5. Select Set as active

You now know how to edit contacts to fix mistakes, or update information, and how to make contacts active/not active.


Tips!

If you have a personnel with the incorrect parent contact, you can change your contact from Personnel, to an Individual and back to Personnel to be prompted for a (new) Parent contact.
