Personnel, Contacts, Add Personnel

Personnel refer to any contact that works for a company contact or is in any way related to an individual.


How to view personnel associated with a contact?

View all personnel associated with a company or individual

  1. Organisation menu > contacts

  2. Open the contact profile associated with the personnel

  3. View the related personnel under the personnel tab

Alternatively, follow these steps to view the contact personnel:

  1. Organisation menu > contacts

  2. Open the contact associated with the personnel

  3. Contact menu > Personnel


How to search and filter personnel?

In the Contact > Personnel tab, select the search icon in the top right-hand corner. After specifying your filters, click the Search button.

Filter and search options

  • Search: Click the Search button and enter a keyword in the search box.

  • Active: By default, only active contacts are shown—these appear in drop-down lists and can be added to projects or invoices. Use the drop-down to view inactive contacts, which have been used in past projects or invoices but are no longer available in Synergy.

  • All Roles: Filter the list to show contacts with a specific role, such as supplier, builder, or consultant.


How to add personnel

Create personnel records and link them to contact records to include them in projects and display their details in document outputs or reports.

  1. Organisation menu > contacts

  2. Select 'Add' in the top right-hand corner > Personnel

  3. Enter the contact information including title, first name, last name, contact role and job title.

  4. Select the parent contact (company or individual). This will associate the personnel with the contact record.

  5. (Optional) Add contact details such as phone numbers, addresses, email accounts, and social accounts, these fields sit under 'Add more detail'

  6. Save in the top right-hand corner.


How to delete a personnel

A personnel record can be deleted if it isn't linked to any invoices or projects. To delete a personnel record:

  1. Find the personnel record you want to delete > tick the checkbox on the left of the row.

  2. Click the multi-rows action button and select 'delete'.

  3. Click 'delete' on the confirmation pop-up.

  4. The personnel record(s) have been deleted.

Tip: If you cannot delete a personnel record change the personnel status to 'inactive', and the personnel record will not be removed from all areas of Synergy.


Setting a personnel as inactive

  1. Organisation menu > Contacts

  2. Check the checkbox to the left of the personnel you want to set inactive.

  3. Click the multi-row action button and select Set as Not Active

  4. The personnel tab updates to show only active records.


How to edit a personnel

  1. Organisation menu > contacts

  2. Locate the personnel you want to update > Select the edit pencil to the right of the personnel > Edit

  3. Edit the available fields.

  4. Click save in the top right-hand corner


How do I move personnel between contacts?

  1. Organisation menu > Contacts

  2. Open the Personnel record, click the '...' in the top right > select Convert to an Individual

  3. Click OK

  4. With the contact record still open, click the '...' in the top right > select Convert to a Personnel

  5. Click the down arrow at the end of the Parent contact field to view the list of company contacts. Select a company contact name from the list.

  6. Click OK to complete the change

  7. The name of the new parent contact is displayed on the details screen of the personnel record

Personnel can be moved between contacts at any time using the above steps
