Synergy HR gives you the option to import existing staff leave balances from your current system into Synergy. This will save you time in setting up your staff with all the different leave policies and public holiday calendars that apply to them and input all the balances for you in one import.
Prerequisites for importing.
Before you can import your staff leave balances and apply your policies and public holiday calendars to staff, you need to make sure you have done the following:
1. All staff members have been created in Synergy
2. All leave policies have been set up in your Synergy HR settings
3. All public holiday calendars have been set up in your Synergy HR settings
How to enter information into the spreadsheet
You can find the import spreadsheet by clicking the organisation menu > settings > organisation > Synergy HR > Data Imports > Download
The import spreadsheet has four tabs. The first tab has instructions on what information is required to fill out the spreadsheet and details about exporting from other systems.
The second tab is the 'leave policy' tab. This sheet requires the staff members first and last names, the policy type (determined in Synergy) and the name of the policy (as set up by your organisation in Synergy). The staff names and policy names must exist in Synergy for the policy to be applied to the staff members upon importing.
The third tab is the 'leave balance' tab. This sheet requires the staff members first and last names, the leave type (determined in Synergy) and the number of days each staff member has available within that leave type.
The fourth tab is the 'public holiday calendar' tab. This sheet requires the staff members first and last names and public holiday calendar name (as set up by your organisation in Synergy).
The import process.
Once you have filled out the relevant details in the spreadsheet, click add files and select the import spreadsheet. Check the data in the preview screen to see if there are any errors in your sheet. Press the import button when you are ready to import. If the import has an error, then that row of data will be skipped. Data rows that could not be imported will be added to an excel file that you can download and review to rectify the errors.
