Project Folders are a great way to keep your project documents organised. You can file any document related to a project including emails, drawings, invoices and more! You can also structure these folders and create a custom layout that works for your business.

The project folder template can be found from Side Navigation, click your organisation > Organisation Settings > Templates > Project Folder.


Adding a folder

Adding a new folder to your project folder template structure couldn't be easier! Simply click 'Add' in the top-right corner and fill out the dropdowns on where you would like your folder to go.

  1. Fill out the fields below:

    1. Name.

    2. Folder path - The folder it will live under. Select \ if it will live in the base directory.

    3. Security access level - The minimum access level that can access this folder

    4. Preferred layout - The column layout shown when accessing this folder

    5. Default options

  2. Click Save to create the new folder

NOTE: When selecting where the folder should be in the structure, it's not permanent and can always be changed should you make a mistake or need to move it in the future.


Editing a folder

If you would like to edit any of the details that have been added to a folder, you can click the 'pencil icon' on the row of the folder to the right-hand side and select 'Edit'.

This will take you to a larger editing page where you can update folder details and save any new changes.

Removing a folder

If you would like to delete a folder, you can click the 'pencil icon' on the row of the folder to the right-hand side and select 'delete'.

A confirmation window will pop up, confirming you want to delete the folder from the template. Click Delete again to proceed.


Updating your project folders structure

When you make a change in the project folder templates, you can apply the new folder structure to a project’s documents folder.

Go to your projects document register. Click the ellipsis menu, select “Reset the folder to match the template”. This will delete any empty folders in the document library and the new folder structure is recreated.

NOTE: Any folders that have files in them that do not match the folder template will not be removed.


How does this affect SharePoint and Windows File Server?

  • Only the new folders will be replicated.

  • If a name is changed in the templates, the name will not update. You will need to manually change this in SharePoint and Windows File Server.

  • If you delete a folder in the template, this will not be reflected in either SharePoint or Windows File Server. You will need to manually delete or move any unused folders in SharePoint or Windows File Server.

NOTE: Editing, changing, or removing folders from the project folder template will not impact your existing projects' folder structure, or any files in your existing project folders. The default is only applied to projects as they're created, so your changes will only impact projects moving forward.
