How to configure your Sage 50 settings

Configure the available setting options to customise how invoices, credit notes, bills, and staff expenses are synced from Synergy to Sage 50


General settings

Export from date: control the earliest date that invoices, expenses, bills and credit notes will be exported from Synergy to Sage and payments from Sage to Synergy.

We recommend updating this at the end of each financial year, this will ensure the Sage 50 Connect preview loads quickly.

Contact settings

Automatically shorten the Sage contact name when necessary: The contact field in Sage allows for a maximum of 50 characters. As synergy allows for more than 50 characters for companies and individuals it is recommended that you keep this enabled.

Prefix for supplier card id in Sage: Enter a prefix to be added before the Synergy unique ID when exporting a supplier from Synergy to Sage

Invoice line settings

Filter Synergy invoices: You can filter which groups of invoices are exported to Sage by using filters. Filters are available for invoice prefix, project prefix and office.

For example, if you were to check the 'London office' under include by invoice office, only data from the London Office would be exported to Sage.

Setup this filter by:

  1. Check the 'Filter Synergy Invoices' check box

  2. If you want to include specific invoice prefixes, project prefixes or an invoice office, check the relevant check boxes

  3. Invoices from each of the filters checked will be included in the sync from Synergy to Sage

Sage account code mapping: The account code is used to determine which account the invoice / credit notes will be transferred to within Sage. You may have setup multiple revenue accounts in Sage to track different revenue streams for different office locations or types of business.

  • Fixed Sage online account: All Synergy invoices and credit notes will be synced to the one fixed Sage account. Select this account from the dropdown list.

  • Synergy discipline: Select this to export invoices and credits to the nominal code listed on the stage discipline. Different types of revenue within the project will go to separate nominal areas.

  • Synergy cost centre: Select this option and the invoices and credits are sent to the nominal code listed on the stage cost centre.

Payment settings

Import payments from Sage to Synergy: Import payments entered in Sage to Synergy. Use this to ensure the payments in Sage are reflected in Synergy.

Tip: Sage payments for expenses (creditors) and payroll payments are not synced between Synergy and Sage.

Import payment type mapping: Map each of the payment types within Synergy to the Sage payment type. At this stage, it is only ‘All types’.

This payment drop-down list is generated by your Sage database. The Sage account column shows all accounts within Sage Accounts > Accounts list feature, which is an asset account setup as the type 'bank' account.

Bill settings

Bills settings are used to customise which information is shown on purchases, such as the bill note, bill line description, and item source.

Export bills from Synergy to Sage 50: This option should be checked if you want to export Synergy bills (supplier and subcontractor expenses) from Synergy to Sage. This will prevent any duplicate entry of bills in both Synergy and Sage

Bill note: If this option is checked then the text entered into the 'notes' field of the bill will be exported to Sage as a header transaction line

Paid status: This option will import the bill payment status from Sage into Synergy

Filter Synergy Bills: Filters allow you to limit which bills will be synced to Sage based on cost centre or discipline.

Setup this filter by:

  1. Check the 'Filter Synergy Bills' check box

  2. If you want to include specific cost centres or disciplines, check the relevant check boxes

  3. Bills from each of the filters checked will be included in the sync from Synergy to Sage

Sage 50 service item source: This will determine what will populate the 'details' on the purchase invoice details screen.

Sage 50 account code mapping: Account code mappings determine which expense or cost of goods sold accounts your Synergy bills will be allocated to in Sage.

A fixed Sage account is used as the default, with the option to select expense type as an alternative. If expense type is selected, bills will be exported to the nominal code set as the 'account code' on the expense type.

Sage 50 line description: This will determine what will populate the 'details' column for bills in Sage. You can choose between the Synergy bill line description or the Synergy expense type.

Staff expense settings

Export staff expenses from Synergy to Sage 50: This option should be checked if you want to export Synergy expenses (cash, travel and office) from Synergy to Sage.

Staff expense note: Select the check box if you would like the expense note as a header transaction line item to the Sage 50 bill

Sage 50 service item source: This will determine what will populate the 'details' column of the expense transaction in Sage.

Filter Synergy staff expense: Filters allow you to limit which bills will be synced to Sage based on cost centre or discipline.

Setup this filter by:

  1. Check the 'Filter Synergy staff expense' check box

  2. If you want to include specific project prefixes in the export, check the relevant check boxes

  3. Expenses from each of the filters checked will be included in the export from Synergy to Sage

Sage 50 account code mapping: Account code mappings determine which expense or cost of goods sold accounts your Synergy expenses will be allocated to in Sage.

A fixed Sage account is used as the default, with the option to select expense type as an alternative. If expense type is selected, bills will be exported to the nominal code on the expense type.

Sage 50 line description: This will determine what will populate the 'details' column for bills in Sage. You can choose between the Synergy bill line description or the Synergy expense type.

Tax settings

Map the tax rates within Synergy to the matching tax rate in Sage. The invoice tax is used for invoices and credit notes transferred to Sage, and the expense tax is used for staff and supplier bill expenses transferred to Sage.

Match the Synergy Tax Code with the Description of the matching tax code in Sage.

Tip:  All Sage tax rates setup in Sage within the Lists menu > Tax codes feature are shown in the Synergy Connect tax code drop down list.
