How to create custom Security Access Levels.

Up to 6 Custom Access Levels can be created in the Security Matrix. This can be done by selecting an existing Synergy access level to base the new access level on, creating a unique name, and then editing the permissions.
The base access level won't be affected.


Creating a Custom Access Level

Use these steps to create a custom access level:

  1. Go to Organisation drop down > Settings > Organisation > Security Matrix​

  2. Click the ellipsis button at the top right and select Manage Custom Access levels​.

  3. The Manage Custom Access Levels panel will open.
    Click the + button in the centre of the panel, or click the Add Custom Access Level link at the bottom.

  4. Select the Base access level from the drop down.

  5. Enter a unique name for the access level then click the Add Access Level button.

  6. The custom access level is added to the list with the base access level displayed, Click x at the top right to return to the security matrix to adjust the security settings.

  7. The security matrix page will refresh and the new access level is displayed.


Configuring the Custom Access Level

Once the Custom Access Level has been created, the settings can be adjusted in the Security Matrix by selecting or deselecting the relevant permissions.

  1. The permission categories in the security matrix are collapsed by default. These can be expanded by clicking the Expand / Collapse button at the top left of the screen.

  2. If you know the name of the category or permission you can type it into the filter box.

  3. Once the permissions that need to be adjusted are displayed, they can be ticked or unticked. For example, if your new Custom Access Level is based on the default Director access level, you may want that level to see actual costs in the project financials (ticked) but not see costs on staff records (unticked).


Updating Staff Records​

Once the Custom Access Levels have been configured, the new access level can be selected on new or existing staff records.

For existing staff records:

  1. Go to Organisation drop down > Staff .

    • Click on the staff name to open their record.

    • Now click the Edit button.

  2. Click the down arrow at the end of the the Security access level field and select the custom access level from the drop down.

  3. Click Save.

For new staff records:

  1. Go to Organisation drop down > Staff > Add.

  2. The security access level is set to User as the default.

    • Click the down arrow at the end of the the Security access level field.

    • Select the custom access level from the drop down.

  3. Once the staff record details are complete, click Save.



​​Editing or Deleting Custom Access Levels

Use these steps to edit or delete a Custom Access Level:

  1. Go to Organisation drop down > Settings > Organisation > Security matrix​

  2. Click the ellipsis button at the top right and select Manage Custom levels​

  3. On the Manage Custom Access Levels window, hover over the custom access level to see the available options

  4. To edit the access level, click the pencil icon.

  5. Update the name or change the base access level, then click the green tick to save the changes.

  6. To delete the access, level click the Trash can icon. The following message is displayed.

    To reassign staff with this access level to the base or parent custom level, tick the checkbox and then click Delete.

  7. The custom access level is removed from both the Manage Custom Access levels windows and the main Security Matrix screen.


Custom Access Levels and Syncing to SharePoint

If your Organisation uses Unified Workspace and SharePoint, the Synergy security access level groups that have been configured in SharePoint won't need to be changed.

Synergy uses the base level of a custom access level for the SharePoint integration.
