How to change project and stage statuses

User-level: Assistant Project Manager and up.

This article explains the different project and stage statuses, their uses, and provides instructions on how to change them


What is the project status?

  • Purpose: Indicates overall project and stage progress and controls the actions available for the project/stage.

Statuses

  • Proposal: This is the default status for new prospective jobs. You can enter timesheets and track the likelihood of winning the work.

  • Active: Indicates the client has accepted the proposal and the job is live. You can enter timesheets and create invoices for active projects/stages.

  • Pending Invoice: Indicates the project or stage is ready for invoicing. Used when the budget has been reached and the work is complete. You can invoice stages with the status pending invoice.

  • Hold: Prevents invoicing and timesheet/expense entries.

  • Unsuccessful: Indicates the project/stage was lost. Allows analysis of win/loss ratios. Any WIP transactions are written off but can be reversed.

  • Complete: Indicates all work is finished and invoiced. Prevents further transactions. WIP transactions are written off but can be reversed.


How to change the project/stage status from the project details screen

  1. Organisation menu > projects

  2. Open the project you want to change the status of

  3. Click the edit pencil to the right of the project status

  4. Select the checkboxes to the left of the project and or stages you want to change the status of. Select the status from the menu on the right-hand side.

  5. Click save and close to finalise your status update.

Tip: Use the 'select all' checkbox in the bottom left to select the project and all stages.


How to change the project/stage status from the work breakdown

  1. Organisation menu > projects

  2. Open the project you want to change the status of

  3. Project menu > Plan > Work breakdown

  4. Select the status column on the stage

  5. Select the checkboxes to the left of the project and stages you want to change the status of. Select the status from the menu on the right-hand side.

  6. Click save and close to finalise your status update.

Tip: Use the 'select all' checkbox in the bottom left to select the project and all stages.
