How to manage contractors in your organisation

If you work with contractors who you require to enter timesheets into Synergy, yet you want them only to have access to Synergy when they're working with you.

To do this, you can add them as additional staff, and then mark them as inactive when they have completed their projects. If they work with you again and are required to enter timesheets, you can always mark them as active, restoring their access.

Change staff to be inactive

By making a staff record inactive, that user will no longer show up in the staff list, in dropdown lists across Synergy relating to staff selection, and in timesheets. The user will also no longer be able to access Synergy. To mark a staff, record as inactive:

  1. Go to the Staff List

  2. Select the checkbox(es) on the left for each staff you want to mark inactive.

  3. Click the bulk action arrow at the bottom and select 'Set as not active'.

  4. The list will refresh, and the staff will be hidden from view.

Change staff to be active

When a contractor returns to work with you, and you need them to be able to access Synergy for timesheets, you will need to make their staff record active again. To do this:

  1. Go to the Staff list and click the Search icon at the top right. This will reveal the filters for the staff list.

  2. Set the status filter to 'Inactive', and then click search.

  3. You will now see a list of all inactive users in your staff list. Find the user you need to reactivate and select the checkbox next to their name.

  4. Go to the bulk action arrow at the bottom and click 'Set as active.'

Once you have done this, the user will be able to log in again and access your organisation.
