Dashboard Explained
Individual staff utilisation displayed as a colour-coded heatmap across weeks and months. Utilisation Heatmap makes under- and over-utilisation visible at the individual level — it's the fastest way to identify who needs more work, who is overloaded, and whether utilisation problems are isolated or systemic.
How to use it
Use Utilisation Heatmap in weekly resourcing meetings to identify staff who need additional work allocated. Staff showing multiple consecutive under-utilised weeks should have their project allocation reviewed. Staff showing consistent over-utilisation should have their workload reviewed before it becomes a retention risk. The heatmap is most useful when reviewed at the individual level — look for patterns, not single weeks.
Understanding your data
Key Fields | How it's Calculated |
Weekly Chargeable Utilisation % (by Staff) | Chargeable hours recorded by each staff member in each week, divided by their available hours for that week. Displayed as a colour intensity — darker means higher utilisation |
Available Hours (by Staff) | Each staff member's contracted weekly hours, adjusted for approved leave and public holidays in that week |
Under-Utilisation Threshold | The minimum utilisation percentage defined as acceptable. Weeks below this threshold are highlighted as under-utilised |
Over-Utilisation Threshold | The maximum utilisation percentage defined as sustainable. Weeks above this threshold are highlighted as over-utilised |
Rolling Average Utilisation (by Staff) | Average weekly chargeable utilisation for each staff member over the selected period. Shows whether low or high utilisation is a one-week event or a sustained pattern |
Filters
Period: Date range (typically 8–13 weeks)
