You can add project contacts from the project contacts or project details screen.


How to add contacts from the project contacts screen:

  1. Organisation menu > projects > open the project you're working on

  2. .Open the project menu > Details > Contacts

  3. Select 'Add' in the top right-hand corner > Contact

  4. Click into the contact tab and search for the company or individual you're adding.

  5. Select the personnel at the company from the 'personnel' drop down list. If there are no personnel, the field will default to 'The Manager'. For individual type contacts selected, the matching name is automatically added to the personnel box.

  6. Select the role the contact plays on this project, e.g. client

  7. Select the check box to the left of any of the following that apply to the contact

Invoice Contact – for invoice recipients.

Primary – if the main decision-maker.

Care Of – if invoices go to this contact’s address.

Portal Access – to enable chat and document downloads.


How to add a contact from the project details page

  1. Organisation menu > projects > open the project you're working on

  2. To the right of the contacts column, select 'Add' > Contact

  3. Click into the contact tab and search for the company or individual you're adding.

    1. For companies, choose personnel from the dropdown (defaults to The Manager if none exists).

    2. For individuals, the name auto-fills in the personnel field.

  4. Select the role this contact is on the project. e.g. Builder, Landscape Architect, Engineer, Painter etc.

  5. Select the check box to the left of any of the following that apply to the contact

Invoice Contact – for invoice recipients.

Primary – if the main decision-maker.

Care Of – if invoices go to this contact’s address.

Portal Access – to enable chat and document downloads.


Tips!

  • The Manager appears as the default contact if no personnel records exist.

  • Press Ctrl+A to create a new contact.

  • Add internal staff to the Project Contacts tab to list project team members.

  • Define custom roles in Settings > Contact Lists > Roles for staff and contacts.
